Step 1 – Review - Event Information and Terms and Conditions
Once you have reviewed all the event information including the terms and conditions, and have decided to participate in the UNCLE TOBYS® Big Splash Swimathon, it’s time to start planning your Big Splash event.
Step 2 – Confirm - Big Splash Event Details and Group Administrator
To plan your UNCLE TOBYS® Big Splash Swimathon, you will need to discuss with your group and decide on the following:
- Group Name
- Big Splash Challenge
- Local Cause
- Who will be involved
- Fundraising Target
- Date
- Time
- Venue
You will need to nominate a Group Administrator, who will be the key contact for all communication materials to administer your UNCLE TOBYS® Big Splash Swimathon.
The Group Administrator will need to understand and accept the terms and conditions for the UNCLE TOBYS® Big Splash Swimathon, to receive registration confirmation and access to your group’s fundraising home page.
The safety of participants undertaking the UNCLE TOBYS® Big Splash Swimathon is paramount. The Swimathon Group Administrator will need to ensure the Swimathon is conducted in a safe manner and will need to undertake a Risk Assessment with the aquatic facility taking into consideration the participant’s swimming competency levels and the nominated Big Splash activity.
Note, additional supervision requirements may be made mandatory by State and Territory Departments of Education. Please refer to your State or Territory Department of Education for full supervision details and requirements.

Step 3 – Action - Group Registration, Promotion & Fundraising
Your Group Administrator will need to register your Group online at Register MY GROUP, providing the following event details:
- Group Name
- Suburb
- Big Splash Challenge
- Local Cause
- Who will be involved
- Fundraising Target
- Date
- Time
- Venue
- And provide group/school/team/cause logo
The Group Administrator will establish their own username and password and will receive confirmation of registration which will link them directly to your group’s fundraising home page.
Group Fundraising Home Page
Group Administrators will have the ability to personalise their group home page by downloading an image to include on their home page.
Each group fundraising home page will contain:
- Group Registration Details (as listed above)
- Target fundraising gauge
- Group leader board
- Message Board
- Link for individual participants to register
- Find a Member / View Full List of Members
The Group Administrator directs all interested parties to their group fundraising home page and will be provided with online email templates to direct and engage participants, sponsors and supporters.
Group Administrator – Online Resources
Group Administrators will be able access resources online to assist their planning and promotional activities for their Big Splash event. These resources include:
- Organiser’s Information Kit (which includes planning checklist and promotional ideas)
- Hard Copy Participant Registration Form
- Individual Sponsorship Registration Form
- Posters
- A4 Fact Sheet
- Media Release and Newsletter text
- Lap Count Tally Sheet
Fundraising
Funds raised from the UNCLE TOBYS® Big Splash Swimathon will help to reduce child drowning, along with locally nominated charitable activities.
An administration fee of 4.5% will be deducted from gross proceeds to determine the net proceeds that will be distributed as detailed below (and as outlined in the terms and conditions clause 33-36)
More specifically 50% of funds will be allocated to the Royal Life Saving Society - Australia and the other 50% as per your locally nominated not-for-profit or charitable activity.
The 50% allocated to locally nominated activities, should be decided by you and/or you group at registration and will be based upon the following three options:
- Royal Life Saving Swim and Survive Drowning Prevention Strategy doubling the funds raised and impact
- Not-for-profit organisation as part of a local fundraising cause e.g primary school fundraising for new library books for the school library.
- Registered Charity
Note: for groups who are not a registered charity or not-for-profit organisation e.g. Aquatic Centres, Swim Schools, Corporate and Business Organisations, you are not legally entitled to direct funds back into your business. You will need to nominate for these fundraising proceeds to go to either a not-for-profit or a Registered Charity. Step 4 – Action - Participant Registration, Promotion and Fundraising
Participants will need to register as a member of a group, and will be required to register online or by completing the provided hard copy form.

Hardcopy: Big Splash Resources
Participants who register online will receive a free UNCLE TOBYS® Big Splash Swimathon silicone wrist band2. Wrist bands will be forwarded to the Group Administrator seven to ten days prior to the event date.
Participants under 18 years of age, will need to have permission from their parent/guardian to participate in the UNCLE TOBYS® Big Splash Swimathon. Their parent or guardian will need to have read and understood the terms and conditions, acknowledging participation and approval.
Participant Fundraising Home Page
Participants will also have access to their own Personal Fundraising Home Page, which will contain:
- Participant First Name and Surname
- Group Registration Details (as listed above)
- Target fundraising gauge
- Message Board
- Link back to the Group Fundraising Home Page
Participants will be provided with online email templates to send personalised emails to their family and friends to gain their support/sponsorship.
Participants - Online Resources
Participants will also be able to access online resources to help them as they plan to make their Big Splash. These resources will also assist their fundraising and sponsorship activities and includes:
- UNCLE TOBYS® Big Splash Swimathon – Individual Sponsorship Registration Form
- Participant Checklist
- Posters
- A4 Fact Sheet
- Lap Count Tally Sheet
Fundraising
It is a condition for the UNCLE TOBYS® Big Splash Swimathon that any person participating under the age of 18, has permission from their parent or guardian to participate and to fundraise. Their parent or guardian will need to have read and understood the terms and conditions, acknowledging their child’s participation and their approval.
Step 5 – Host - UNCLE TOBYS® Big Splash Swimathon
With all the Big Splash planning and promotion completed, it’s time for you and your group to enjoy their UNCLE TOBYS® Big Splash Swimathon Event. Being active, healthy and having fun, you are helping to raise funds to reduce child drowning and supporting your local charity.
Step 6 – Finalise - Big Splash Fundraising and Payments
Within three weeks of completing your UNCLE TOBYS® Big Splash Swimathon event, all funds raised by the group and its participants will need to be provided to the Royal Life Saving Society – Australia.
The funds raised from your UNCLE TOBYS® Big Splash Swimathon will be allocated to the nominated qualifying local cause eight weeks from the completion of the Big Splash Event.
Where Registered Groups represent a not-for-profit organisation and nominate this as their local fundraising activity, the Group Administrator will be required to supply the Royal Life Saving Society – Australia with their ABN, Account Name, BSB and Account Number for funds to be transferred after their Group’s Big Splash Event. Upon funds being transferred the Group Administrator will receive an electronic copy of the payment receipt for their records.
Where Registered Groups nominate a Registered Charity as their local fundraising activity, the Royal Life Saving Society – Australia will contact this Registered Charity to obtain their ABN, Account Name, BSB and Account Number for funds to be transferred after the Group’s Big Splash Event. The Royal Life Saving Society – Australia will confirm the Registered Charity’s details with the Group Administrator prior to the funds being transferred to ensure accuracy. Upon confirmation the Group Administrator will receive an electronic copy of the payment receipt to the Registered Charity for their records.
